Data collected

As part of using Ekydi, the following data may be collected:

• Identification data: first name, last name, email, phone, login identifier.
• School-related data: class, activity registrations, canteen, various modules.
• Technical data: IP addresses, login logs, browsing information, cookies.
• Communication data: messages exchanged via the platform (depending on enabled modules).

No sensitive data (within the meaning of the GDPR) is collected, unless required by law or expressly requested by the client.

Purposes of processing

The data collected is used to:

• Provide the subscribed services (extracurricular activities, canteen, communication, etc.).
• Manage user accounts and access rights.
• Ensure billing and contractual follow-up of client institutions.
• Ensure security, maintenance and continuous improvement of the platform.
• Comply with applicable legal and regulatory obligations.

Retention period

- User data is kept for the duration of the contract with the institution, then deleted or returned.
- Billing data is kept for the applicable legal period.
- Technical data (logs, cookies) is kept for a maximum of 12 months.

Hosting and security

Data is hosted on Heroku (Salesforce.com EMEA Limited) infrastructure based in Europe and/or the United States, with recognized security certifications.
Nuben LTD implements protective measures (encryption, backups, access control, system monitoring).

User rights

In accordance with the GDPR and applicable laws, every user has the following rights:

• Right of access, rectification and erasure.
• Right to restriction and objection to processing.
• Right to data portability.
• Right to withdraw consent at any time.

Ekydi uses cookies necessary for the proper functioning of the platform, as well as trackers to measure audience and improve the user experience.

Subcontracting

Nuben LTD may use technical subcontractors (hosting, emailing, cloud).
These providers act only on the instructions of Nuben LTD and guarantee an appropriate level of security.

Changes

Nuben LTD reserves the right to modify this Privacy Policy at any time, in particular to adapt it to changes in services or regulations.
Users will be informed of any material changes.

Governing law

This Policy is governed by Mauritian law. In the event of a dispute, the courts of Mauritius shall have exclusive jurisdiction.
